Modern Project Management – How Teodesk and Hybrid Methodology Work Together

In biology, HYBRID is an offspring resulting from combining the qualities of two organisms of different breeds, varieties, species or genera. The etymology of the word itself goes way back to Latin, but it has been known and used in English since 1601, but rarely before c.1850. The original word came to life to describe a mongrel; an offspring of a tame sow and a wild boar.


In project management, creating a HYBRID methodology of any kind is the only way to keep up with the only constant in this world – change. When faced the world where you need to adjust in the speed of light, one can only be as flexible and fast-paced as much he’s capable of combining his knowledge, experience, available resources and ways of doing things.

If you want a straight definition of Hybrid Project Management, it can be downsized to a method that combines the formal, Waterfall and Agile methods, in order to create a new project management method.

HM guiding principles are:

  • Project Manager is handling a hybrid project through the use of WBS (Work Breakdown Structure) which uses such tools as Gantt charts, subtasks, milestones and dependencies to define a project completely. He is the one with the overall ownership and responsibility for the project.
  • The sprints are run by Scrum Masters.
  • Continuous Team Collaboration is required for ongoing reporting, analysis and management review.

However, having in mind the flexibility of today’s definitions, the simplest explanation of working by hybrid philosophy would be that it’s a combination of at least two different methodologies or systems, in order to create a new and better model of a workflow. You should know that Hybrid is now a formal methodology and is gaining more and more traction within both academia and professional circles.

The best way to do so is to rely on 2 things:

  • human resources in your team
  • new technology that supports your actions

For humans, you will have to tend for yourself. However, for the other item, we just might have the solution. Project management is rife with methodologies, from Waterfall to Agile to PRINCE2 to PMBOK to Lean, and the list goes on. But, what if we tell you that you can use the positives from all of these and create a hybrid of your own? A perfect hybrid suitable to the way your team works, collaborates and communicates while planning, executing and closing a project.


We would like to show you how can you combine, improvise and overcome sudden change, while your team productively multitask under control. Once you choose to use the hybrid methodology, this part of the project is done through planning and synchronization of all events related to operations and project activities. In this initial stage, a hybrid team gathers to analyze the project’s life cycle, together with its complexity.

When they come up with a work breakdown plan, they define phases and sub-phases in the form of a tree-like structure.

The catch with this stage of the project is that a hybrid team makes space for some flexibility, rather than precisely nailing each phase/task.

A backlog for each phase is created, except for the first one which remains firmly defined.

Unlike already determined methodologies such as Waterfall (processes following each other in a cascade), for example, a hybrid one allows overlapping phases.


Now, you should divide phases into several sprints. The outcome of each sprint modifies the input to the following sprint. This is done naturally as the team can use its newly found insight and info for the next step. By then, the product owner has made some changes in the requirements – so the next sprint can get readjusted.
One hybrid sprint lasts between 4 and 6 weeks.


For starters, you should know that the number of users is not limited and the software is flexible enough so that you can adapt it to the needs of your work environment. This means that you can use it for a team of five, as well as you could for a company with several thousand employees.

With just a few clicks you can assign a task to anyone on your team. To better track completion you can add the start and due date, attach relevant files and have discussions directly on the task.

And to help you be even more organized, dividing tasks into subtask makes the whole project process way easier. You can create them in seconds and track completion of the task in a more in-depth way.

Also, it is possible to block any of the tasks and create dependencies between them, so you can avoid any possible confusion when things are not going quite as planned. This is highly beneficial when there is a strong dependence between phases or assignments.

If you need to move a task from one phase to another, Teodesk has made possible to do it through one click of a mouse – you simply drag a task from one phase to another.

Bellow these dates, you have the task status condition: NEW, IN PROGRESS, DONE, PAUSED, OR BLOCKED.

Stages and tasks are easily retrieved by using Project Filtering. Any item can be found by filtering on the assignee, due date, status, and name of task or keywords.


This methodology is a great choice if you need to make product delivery faster and expose issues much earlier so that the final result is better. When it comes to its flaws, there are no major disadvantages, since you’re optimizing it specifically for your team.

The one thing that can be an issue is that you don’t have clear enough guidelines for your team, which can cause some confusion. Metrics used to measure Hybrid are the same as for any other methodology: time to market, cost, and quality of output.
